As the operator of this website we are the Responsible Party under the Protection of Personal Information Act 4 of 2013 (POPIA).

What information we collect

We collect information in three ways: when you voluntarily submit it, automatically when you visit the site, and when you use our AI chat assistant.

Cookies and local storage

A cookie is a small text file stored on your device by your browser. We use as few as possible.

We do not use tracking cookies, advertising cookies, or analytics cookies. If you choose "Essential only" on the cookie banner, your experience is identical — there is nothing extra to block.

How we use your information

Information you provide through our contact form is used solely to:

• Respond to your enquiry or service request
• Provide a quote for IT services
• Follow up on a previous conversation if you asked us to

We do not use your personal information for marketing without your explicit permission, and we do not add you to any mailing list automatically.

AI chat assistant

Our website includes an AI-powered chat assistant (JM Assistant) to help answer questions about our services, pricing, and contact details.

• When you send a message in the chat, the text of your conversation is sent to Anthropic PBC (the company behind the Claude AI model) for processing.
• Anthropic processes this data on servers located outside South Africa, in the United States.
• We do not store your chat messages on our own servers after the conversation ends.
• Anthropic's own privacy policy applies to how they handle this data: anthropic.com/privacy

Who we share your information with

We do not sell, rent, or trade your personal information to any third party. We share information only in the following limited circumstances:

• Anthropic PBC — chat messages only, for AI processing (see Section 5)
• WhatsApp / Meta — if you choose to contact us via our WhatsApp button, your message and phone number are handled under Meta's privacy policy
• Legal requirements — if we are required by South African law or a court order to disclose information

No other third parties receive your personal information from us.

Your rights under POPIA

The Protection of Personal Information Act (POPIA, Act 4 of 2013) gives you the following rights regarding your personal information:

• Right to access — you may request a copy of the personal information we hold about you
• Right to correction — you may ask us to correct inaccurate or incomplete information
• Right to deletion — you may ask us to delete your personal information where there is no legitimate reason to retain it
• Right to object — you may object to how we process your information
• Right to complain — you may lodge a complaint with the Information Regulator of South Africa at justice.gov.za/inforeg or email inforeg@justice.gov.za

How we protect your information

As an IT and cybersecurity company we take data security seriously and apply the same standards to our own website that we recommend to clients:

• The website is served over HTTPS with a valid SSL/TLS certificate — all data in transit is encrypted
• Admin login credentials are stored as bcrypt hashes — we cannot recover plain-text passwords even if we wanted to
• Admin sessions use HTTP-only, secure cookies that expire after 8 hours
• Contact form submissions are sent directly to our email via mailto — no personal data is written to our web server's database
• We keep server software and dependencies up to date

No method of transmission over the internet is 100% secure. However, we do everything reasonably practicable to protect your information.

How long we keep your information

• Contact form enquiries — kept in our email inbox as long as needed to service your request, then deleted
• Admin session cookies — expire automatically after 8 hours
• Cookie consent preference — stored in your browser until you clear site data
• Chat messages — not stored by us; handled by Anthropic per their retention policy
• Gallery images — uploaded by our staff only; retained on our server until removed by staff via the admin panel

Children's privacy

Our website and services are not directed at children under the age of 18. We do not knowingly collect personal information from children. If you believe a child has submitted personal information to us, please contact us immediately and we will delete it.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.

Continued use of this website after changes are posted constitutes your acceptance of the updated policy.
